1. Permitted Uses
ExactlyHow is an Operational Knowledge & Business Continuity Platform designed to help organizations document work, organize operational knowledge, search company processes, collaborate across teams, and confidently transfer responsibilities. The Services may only be used for these intended business and operational purposes.
2. Prohibited Uses
You agree not to use, or encourage, promote, facilitate or instruct others to use, the Services for any use that we reasonably believe to be illegal, harmful, or offensive. The following sections detail specific prohibited activities.
3. Illegal Activities
Any use of the Services in violation of applicable local, state, national, or international law or regulation is strictly prohibited.
4. Malware
You may not use the Services to transmit, distribute, or store malicious software, viruses, worms, Trojan horses, or any other destructive or harmful files or code.
5. Reverse Engineering
You may not reverse engineer, decompile, disassemble, or otherwise attempt to derive the source code, underlying ideas, algorithms, or structure of the Services.
6. Spam
You may not use the Services to transmit unsolicited commercial messages or spam, including sending bulk email invitations to users who have not consented to join your Organization Workspace.
7. Credential Sharing
Sharing login credentials, passwords, or authentication tokens among multiple individuals to bypass user seat limits or access controls is strictly prohibited. Each user must maintain their own distinct account.
8. Unauthorized Security Testing
Conducting penetration testing, vulnerability scanning, or any other security evaluation of the Services without prior written authorization from ExactlyHow is prohibited.
9. Intellectual Property Violations
You may not upload Process Documentation, Attachments, or Comments that infringe upon or misappropriate the intellectual property rights of others.
10. Harassment
Using the platform's collaboration features, such as Comments, to harass, threaten, or intimidate any person or organization is forbidden.
11. Hate Content
You may not store or transmit content that promotes violence, discrimination, or hatred against individuals or groups based on race, religion, ethnicity, gender, sexual orientation, or disability.
12. Fraud
You may not use the Services for fraudulent purposes, including impersonating others, misrepresenting your affiliation with any person or entity, or engaging in phishing or social engineering schemes.
13. Abuse
Any activity that interferes with or disrupts the integrity, performance, or availability of the Services or its underlying infrastructure is considered abuse and is prohibited.
14. Excessive Automated Activity
You may not use automated scripts, bots, or scrapers to access the Services in a manner that places an unreasonable or disproportionately large load on our infrastructure.
15. API Misuse
Use of ExactlyHow APIs must comply with our API documentation. Circumventing API rate limits or abusing API endpoints to extract data outside of standard operational workflows is prohibited.
16. Customer Responsibilities
Organizations are responsible for ensuring that all users within their workspace adhere to this Acceptable Use Policy. Administrators are expected to actively monitor and govern the Operational Knowledge stored within their Process Library.
17. Reporting Abuse
If you become aware of any violation of this Acceptable Use Policy, please report it immediately to our security team at security@exactlyhow.io.
18. Violations
ExactlyHow reserves the right, but does not assume the obligation, to investigate any violation of this Policy or misuse of the Services.
19. Enforcement
We may take appropriate enforcement action, including removing prohibited content, suspending access to the Services, or terminating accounts, without prior notice, if we believe a violation poses an immediate threat to the platform, other customers, or the public.
20. Appeals
If your account has been suspended or terminated for a violation of this Policy and you believe this was an error, you may appeal the decision by contacting our legal team.
